Bookkeeper

Wenatchee, WA 98801 // Part-time (~20 hrs/wk) // $22.00 - $28.00 per hour

Position Overview

Parsons Photography, a family-owned business serving North Central Washington for 80 years, is seeking an experienced trustworthy Bookkeeper to manage our complete accounting cycle. This position handles daily transactions, accounts payable and receivable, payroll, bank reconciliations, and prepares financial statements and tax filings. You will work independently to provide a complete financial picture to ownership.


Employment Details
  • Position Type: Part-Time (approximately 20 hours per week)

  • Compensation: $22.00 - $28.00 per hour, depending on experience

  • Location: On-site in Wenatchee, WA

  • Reports To: Owner/Management

  • Software: SAGE Accounting, Microsoft Excel, Other Specialized Applications


Accounts Payable & Banking
  • Process and pay vendor bills; reconcile company credit cards monthly

  • Manage banking relationships with multiple institutions; ensure sufficient account balances

  • Reconcile bank statements monthly and generate reconciliation reports showing differences

  • Process deposits

  • Post credit card charges to correct accounts; maintain credit card holder spreadsheet

  • Manage NSF checks: post negative amounts to accounts, coordinate redemption with front office, submit unredeemed checks to collection services


Payroll
  • Process semi-monthly payroll; maintain accurate employee records and update information as needed

  • Prepare and file annual W-2s; maintain yearly Excel files tracking vacation, personal time, sick days, and holiday hours (VPH)

  • Set up and maintain Excel tracking sheets for individual employee work history, VPH, and sick time calculations

  • New employee onboarding: process documentation for files, submit New Hire Report to Washington State

  • Maintain records of employee driver's licenses and insurance for company vehicle operators

  • Calculate employee benefits; coordinate with management on insurance updates (vehicle, health)


Tax Compliance & Government Reporting (Washington State)
  • Payroll Tax Deposits: File with each payroll

  • Sales & Use Tax: Prepare and file monthly returns; track quarterly rate changes

  • Sales Tax Paid at Source: Maintain spreadsheet tracking tax paid on items purchased for resale; apply credits on monthly returns

  • Employment Security (SUTA): File quarterly

  • Federal Unemployment (FUTA): Quarterly deposits; annual Form 940 filing

  • Labor & Industries (L&I): File and pay quarterly workers' compensation premiums

  • Form 941: Prepare and file quarterly federal payroll tax returns

  • WA Paid Family & Medical Leave (WAPFML): Calculate, withhold, and remit quarterly premiums

  • WA Cares Fund (WACARES): Calculate, withhold, and remit quarterly long-term care premiums

  • Prepare Wage Detail Excel reports for all government filings; compile yearly reports for CPA


Accounts Receivable & Customer Billing
  • Send monthly statements to studio accounts receivable customers

  • Service Items billing program: annual charge-out in June; apply payments as received


Administrative & Office Duties
  • Distribute daily mail

  • Maintain postage worksheet; track reserve and reset amounts

  • Maintain W-9 notebook; complete credit applications as needed

  • Track vehicle repairs and maintenance in Excel by vehicle

  • Maintain inventory records with current Excel formulas

  • Organize and maintain accounting storage room; manage yearly filing


Financial Reporting
  • Prepare monthly and fiscal year financial reports for management

  • Prepare Profit & Loss statements and Balance Sheets

  • Compile and organize yearly documentation for CPA review


Required Qualifications
  • Minimum 3-5 years of bookkeeping experience

  • Proficiency with accounting software (SAGE experience strongly preferred)

  • Advanced Microsoft Excel skills including formula creation and maintenance

  • Experience processing multi-state or Washington State payroll, including familiarity with WA-specific requirements (L&I, WAPFML, WA Cares)

  • Strong understanding of accounts payable, accounts receivable, and general ledger functions

  • Experience preparing and filing sales tax returns

  • Excellent attention to detail and organizational skills

  • Ability to work independently and manage multiple deadlines


Preferred Qualifications
  • Associate's degree in Accounting, Business Administration, or related field

  • Experience in retail or service-based businesses

  • Familiarity with point-of-sale systems

  • QuickBooks or other accounting software experience (cross-training considered to SAGE Accounting)


Schedule

This is a part-time position averaging 20 hours per week. Schedule is flexible and can be discussed during the interview process. Some weeks may require additional hours during peak periods such as tax filing deadlines, payroll processing, and busy photography seasons.


Physical Requirements
  • Prolonged periods sitting at a desk and working on a computer

  • Ability to lift 25 pounds (file boxes, mail, supplies)
